PRIVACY
NOTICE.

Your data. Treated with care.

At TALNT Group, people are at the heart of what we do — and that includes respecting and protecting personal information.

This Privacy Notice explains how TALNT Group Ltd ("TALNT Group", "we", "us" or "our") collects, uses, stores and shares personal information when you visit our website, contact us, submit a CV, work with us as a candidate or client, or interact with us in connection with our recruitment and talent services.

TALNT Group Ltd is the controller of the personal information described in this notice. Company number: 17436668. You can contact us about privacy matters at natalie@talntgroup.co.uk. Our website is talntgroup.co.uk.

Our registered office is recorded on the public Companies House register. To protect the privacy of a home-based business, we do not reproduce the residential registered-office address in this notice. Formal correspondence can be sent to the registered office shown on the Companies House register.

  • Client contacts, prospective client contacts and other business contacts.
  • Referees and other people whose information is provided as part of a recruitment process.
  • Visitors to our website and people who contact us through our website, email, LinkedIn or other channels.

2. Personal information we may collect

Depending on your relationship with TALNT Group, we may collect:

  • name, email address, telephone number and professional contact details;
  • CVs, employment history, education, skills, qualifications, professional memberships and career preferences;
  • LinkedIn profile information and other professional information that is publicly available or made available to us through recruitment platforms;
  • salary, remuneration expectations, notice period, availability, location preferences and right-to-work information where relevant;
  • records of conversations, applications, introductions, interviews, feedback, offers and placements;
  • information you provide through our website, including information contained in an uploaded CV;
  • client and prospect information such as employer, job title, business contact details, hiring requirements and records of business communications;
  • technical website information such as IP address, device/browser information and cookie or analytics information, where our website technology collects it.

We do not intentionally seek special category information unless it is genuinely relevant and lawful to process. If information about health, disability, diversity or other sensitive matters is required for a recruitment purpose, we will handle it with additional care and identify an appropriate legal condition for doing so.

3. Where we obtain information

  • directly from you, including through our website, email, telephone calls and conversations;
  • from CVs and applications you submit;
  • from LinkedIn and LinkedIn Recruiter;
  • from professional networking sites, company websites and other publicly available professional sources;
  • from referrals and professional contacts;
  • from clients and prospective employers during a recruitment process;
  • from referees or verification providers where checks are requested and appropriate.

4. Why we use personal information

Candidate and prospective-candidate information may be used to:

  • identify and assess potential opportunities that may be relevant to you;
  • contact you about recruitment opportunities and understand your career goals;
  • match your experience and preferences with client requirements;
  • manage applications, interviews, feedback, offers and placements;
  • introduce you to a client where appropriate and after the opportunity and client have been discussed with you;
  • maintain a talent network so we can consider you for relevant future opportunities;
  • keep appropriate records of our recruitment activity and business relationship;
  • comply with legal, regulatory and professional obligations and protect our legitimate business interests.

Client and business-contact information may be used to manage relationships, understand hiring needs, provide recruitment services, respond to enquiries, maintain records, and carry out proportionate business-to-business development and marketing.

5. Our lawful bases

The lawful basis depends on what we are doing. We may rely on:

  • Legitimate interests — for core recruitment and talent-search activities, maintaining relevant professional relationships, identifying suitable candidates, keeping proportionate recruitment records, and appropriate business-to-business development, where our interests are not overridden by your rights and interests.
  • Contract — where processing is necessary to take steps at your request before entering into a contract or to perform a contract with you.
  • Legal obligation — where we must process information to comply with a legal requirement.
  • Consent — where consent is specifically required or is the most appropriate basis. Where we rely on consent, you may withdraw it at any time.

Where we rely on legitimate interests, our interests may include operating and growing a specialist recruitment business, connecting suitable candidates with relevant opportunities, supporting clients with hiring, maintaining professional networks and protecting our business. We consider whether the processing is necessary and proportionate and whether it would reasonably be expected.

6. LinkedIn and talent searching

TALNT Group may identify prospective candidates using LinkedIn, LinkedIn Recruiter and other professional or publicly available sources. If we obtain your personal information from a source other than you, we will provide appropriate privacy information within the period required by data protection law, normally no later than one month and earlier where required, for example when we first communicate with you.

We will tell you, in an appropriate way, that TALNT Group is processing your professional information and direct you to this Privacy Notice. You may ask us not to contact you or to stop processing your information where applicable.

7. Sharing candidate information

We may share relevant candidate information with prospective employers and clients as part of our recruitment services. We will not knowingly send an identifiable CV to a prospective employer without first discussing the relevant opportunity and employer with the candidate.

We may also share information with service providers that support our business, such as website, email, cloud-storage, recruitment, accounting or IT providers, where necessary. We require service providers to handle personal information appropriately.

We may disclose information where required by law, regulation, court order, or to establish, exercise or defend legal rights.

8. How long we keep information

Candidate and prospective-candidate recruitment records will generally be kept for up to 2 years from the most recent meaningful recruitment-related interaction with TALNT Group. We will review information during this period and may contact you to confirm that your details remain accurate and that you wish to remain part of our talent network.

We may keep information for longer where there is a legal, regulatory, contractual or legitimate business reason to do so. We may retain limited suppression information where necessary to respect a request not to receive further marketing or approaches.

Information collected solely for a specific verification or vetting purpose will not be kept longer than necessary for that purpose.

Client, supplier, financial and contractual records may be retained for longer periods where needed for tax, accounting, contractual or legal purposes.

9. Security

TALNT Group takes reasonable technical and organisational steps to protect personal information. At launch, candidate and client records are maintained using TALNT Group's controlled CRM records and business email. Access is limited to the people who need it for legitimate business purposes.

We use appropriate device security, passwords and access controls and will review our security arrangements as TALNT Group grows and introduces new systems.

10. International transfers

Some technology providers used by TALNT Group may process or store information outside the UK. Where personal information is transferred internationally, we will take reasonable steps to ensure an appropriate transfer mechanism and safeguards are in place as required by UK data protection law.

11. Direct marketing and business development

TALNT Group may use professional business-contact information to make relevant business-to-business approaches about our recruitment services. Where UK GDPR applies, we will use an appropriate lawful basis, which may be legitimate interests following an assessment of the context and impact.

Electronic and telephone marketing will also be carried out in accordance with applicable Privacy and Electronic Communications Regulations (PECR) requirements. You can object to direct marketing at any time. If you ask us to stop, we will stop using your information for direct marketing and may retain minimal suppression information so that we can respect your preference.

12. Cookies and website technology

Our website may use cookies or similar technologies that are necessary for the site to function and may use analytics or other optional technologies. Where consent is required for non-essential cookies, these should not be set until the visitor has made an appropriate choice. Details of the cookies actually used should be set out in TALNT Group's cookie notice or cookie-management tool.

Because website technologies can change, TALNT Group should update this section when analytics, advertising pixels, embedded tools or other tracking technologies are added or removed.

13. Your data-protection rights

Depending on the circumstances, you may have rights to:

  • ask for access to personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase information in certain circumstances;
  • ask us to restrict processing in certain circumstances;
  • object to processing based on legitimate interests;
  • object at any time to the use of your information for direct marketing;
  • ask for certain information to be provided in a portable format where the right applies;
  • withdraw consent where our processing is based on consent.

To exercise a right, contact natalie@talntgroup.co.uk. We may need to verify your identity before responding.

14. Automated decision-making

TALNT Group does not currently use solely automated decision-making to decide whether a candidate is suitable for a role or should be hired. Recruitment decisions involve human judgement. If this changes materially, we will update this Privacy Notice and our processes.

15. Complaints

If you have a concern about how TALNT Group handles your information, please contact natalie@talntgroup.co.uk first so we can try to resolve it.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK data-protection regulator. Current contact and complaint information is available from the ICO's official website.

16. Changes to this notice

We may update this Privacy Notice as TALNT Group develops, changes systems or services, or where legal requirements change. The latest version should always be available on talntgroup.co.uk.
